Description
The Admissions Technology Coordinator serves as a technical-administrative liaison, providing essential support across multiple admissions systems and workflows. This role combines technical aptitude with administrative excellence to maintain and optimize CRM systems, coordinate data integrity processes, and support digital workflow implementation for departmental operations.
The ideal candidate will be detail-oriented and technically proficient, with the ability to work independently on routine system tasks while collaborating with cross-functional teams on testing, reporting, and process improvements. This position requires strong organizational skills, comfort with learning new technologies, and a commitment to maintaining accuracy and confidentiality in all system interactions. The role demands someone who can balance multiple priorities, follow detailed procedures, and effectively communicate technical information to diverse stakeholders.

Responsibilities
CRM Systems Support
  • Assist with setting up and running communication workflows in the admissions CRM.
  • Help generate reports and queries to support outreach and admissions processes.
  • Maintain templates and update communications with applicant information.
  • Support tracking and organization of correspondence through CRM tools.
  • Run decision release process and merge communications in CRM.

Data & Systems Testing
  • Assist in testing data between admissions and student systems to ensure accuracy.
  • Follow test scripts and document results during system upgrades.
  • Monitor basic data transfers between CRM and ERP systems, reporting issues as needed.
  • Support quality checks on data imports and exports.
  • Assist with deduplication and document assignment in CRM.
  • Help to troubleshoot data issues.

Workflow & Process Support
  • Assist in setting up digital forms and simple workflows to improve processes.
  • Create events and related automated emails.
  • Assist with the creation of automated email communications.
  • Assist in creation of content blocks and liquid markup for communications.
  • Support calendar and scheduling integrations.

Project Management & Team Tools
  • Assist in setting up digital forms and simple workflows to improve business processes.
  • Use project management platforms to track tasks and deadlines.
  • Maintain shared folders, documents, and workspaces.
  • Create help documentation and video for end users.

Administrative Systems Support
  • Support digital hiring workflows in applicant tracking systems (e.g., PeopleAdmin).
  • Assist in configuring onboarding processes and digital document collection.
  • Support purchase card tracking through monitoring tools and reports.
  • Support security practices for handling confidential information.

Other Duties

Qualifications
Bachelor degree with at least 3-5 years of experience using technology to support office operations or a combination of education/ experience from which comparable knowledge and skills are acquired.
  • Excellent organization, administrative, and communication skills.
  • Strong analytical and problem-solving skills, able to think quickly and troubleshoot effectively.
  • Experience with Computerized Information Systems (Slate and/or Banner familiarity is ideal, but not required as long as there is a demonstrated facility to learn new systems).
  • Familiarity with higher education organization and academic policies. Able to maintain complex records system.
  • Ability to effectively interact with students, faculty, staff, senior administrators, parents, government agencies and other outside organizations.
