Description
The Administrative Coordinator serves as the students’ personal guide through the progression from application through matriculation at the University of New England College of Osteopathic medicine (UNE COM). Serving the Recruitment unit within the UNE COM Office of Recruitment, Student and Alumni Services (RSAS), the Administrative Coordinator provides concierge-type assistance to prospective UNE COM students as they navigate the enrollment and matriculation process. Basic job functions include connecting with students individually to provide guidance and triage issues; providing students with the administrative information that they will need to matriculate at UNE COM; and fulfilling the administrative needs and support the operations of the Recruitment unit of RSAS.

Responsibilities
  • Plan, coordinate and carry out all daily activities/operations related to assigned administrative functions.
  • Provide high touch support to prospective students and act as the student’s initial and reliable point of contact with UNE COM RSAS.
  • Proactively contact prospective students in person, by phone, email and video call to build and maintain relationships for recruitment and retention purposes.
  • Guide and monitor student progress regarding issues related to the enrollment process, Orientation, and pre-matriculation requirements.
  • Communicate and track pertinent pre-matriculation information and required materials to students to ensure compliance well in advance of the academic year start dates.
  • Effectively communicate with prospective students regarding their next steps and opportunities regardless of their status—including but not limited to, inquires, applicants, interviewed candidates, accepted candidates, waitlisted candidates, deposited students and candidates looking to withdraw or defer their application.
  • Support in all operations of the interview process at UNE COM to ensure a positive experience—including but not limited to, uploading the interview schedule, communicating with candidates and interviewers and triaging basic technology issues.
  • Collaborate with University offices including the Office of Admissions and Marketing, Student Financial Services, Academic Affairs, Clinical Education, Student Accounts, and Registrar, for the recruitment and retention of students.
  • Assist in business office procedures including but not limited to processing documents, managing purchase cards and monitoring expenditures.
  • Coordinate, initiate, prepare, process, and/or monitor a variety of forms, records, schedules, reports, and other documents related to assigned administrative functions, ensuring timely and accurate completion and review of documents by department/University personnel, students, parents and individuals outside the University system.
  • Represent and assist UNE COM RSAS, as needed, at events such as OsteoBlast! (Accepted Students Day), Orientation, UNE COM White Coat Ceremony, Senior Week, Commencement and Hooding Ceremony etc.
  • Perform other duties as required.
Qualifications
Associate’s Degree with three to four years of relevant administrative experience, or a combination of education and experience from which comparable knowledge and skills have been acquired.
  • Demonstrated planning, administrative, and organizational skills, evidenced by successful coordination of multiple tasks, projects, or events within established deadlines.
  • Proven writing, quantitative, and research abilities, demonstrated through preparation of accurate correspondence, data summaries, or reports that support decision-making or program operations.
  • Proficiency in word processing, spreadsheets, and office productivity tools (e.g., Microsoft Office Suite or Google Workspace), with the ability to produce professional documents and maintain accurate records.
  • Experience developing and maintaining filing and record-keeping systems, including the use of database or document management software to organize and retrieve information efficiently.
  • Working knowledge of higher education operations and administrative processes, demonstrated through prior experience in a college or university setting or related environment.
  • Demonstrated ability to communicate and collaborate effectively with a diverse range of individuals, including faculty, staff, students, and external stakeholders, to resolve issues and support institutional objectives.
