About the Organization
The UNITE project will mobilize an unprecedented team of multidisciplinary scientists, decision-makers, youth and community advocates to improve youth mental health outcomes, because doing so has the capacity to generate greater personal, social and economic benefits than interventions offered at any other time in the lifespan. There can be no health without mental health, making UNITE the best method for broad societal impact. It consists of three critical and interrelated projects on the pathway to societal impact: 1. Optimized Navigation Pathways; 2. Increased Data-driven Insights; 3. Strengthened Whole-of-System Capacity.
Job Summary
Reporting to the Program Manager, the Administrative Assistant will work to support the day-to-day operations on the whole UNITE project, including purchasing, payroll, HR and scheduling. They will provide administrative support to the individual Team members as needed.
Key Responsibilities
  • Maintain calendars, schedule appointments and coordinate meetings and conferences. Arrange travel and accommodation as needed.
  • Prepare, edit and distribute documents, reports, etc., and maintain digital filing systems to ensure efficiency and confidentiality.
  • Act as a point of contact between internal team and institutional contacts at Dalhousie, IWK and NS Health.
  • Payroll entry and administration.
  • Assist Program Manager with procurement, finance and HR paperwork submission and follow-up, track inventory and order supplies as needed, initiate and track IT ticketing.
  • Help to organize events, presentations and communications.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Business/Administrative Professional program with experience working as an administrative assistant, preferably in a research, health or academic environment.
  • Interest in advancing mental health promotion and care.
  • Proficiency in Microsoft office.
  • Ability to prioritize tasks and manage time efficiently.
  • Excellent verbal and written English communication skills, attention to detail with a high regard for quality, accuracy and organization.
  • Self-directed and able to consistently take initiative and multi-task across more than one project.
Assets
  • Experience in a research environment with a solid understanding of good clinical practice in research and the Tri-Council Policy Statement (TCPS 2).
  • Experience with payroll entry, financial processes and HR .
  • Experience with Dalhousie and/or IWK systems.
