Position Highlights The Event Planning Office within the Arizona Student Unions is looking to hire an Events Coordinator (Conference and Events Planner I). This position will manage Alcohol Permits and interface between the EPO and the University's Risk Management Team, to ensure information flows correctly between the Unions and the client and will manage collection of permits. This position will also manage student group room bookings in the Student Union Memorial Center (SUMC) and serve as the central point of contact for UArizona student groups reserving space in the SUMC; ensure rooms are available at requested dates and times, maintain up-to-date reservations in the master calendar, and coordinate room bookings for guests and events expecting over 100 attendees.

Duties & Responsibilities
  • Manage Alcohol Permits - Permit management, communication with event planners, UAPD and risk management. Must have knowledge of UArizona's alcohol procedures and answer emails and phone calls pertaining to alcohol use on campus.
  • Manage student group room bookings in Student Union Memorial Center - serve as central point of contact for UArizona student groups needing to reserve space in the SUMC; ensure rooms are available at requested dates and times and that reservations are kept current in master calendar.
  • Develop proposals for potential customers and coordinate pending bookings of events focusing on customer needs, logistics and operational capabilities. Work directly with catering, vendors, and event services staff to ensure all event logistics and catering options/menus are presented to the customer accurately and effectively. 
  • Supervise student workers - hires, trains, schedules and directs the work assignments of student workers, ensuring they understand and meet expectations of positions.
  • Receives and process money for event planning. Invoices; posts money to the account; relays any necessary billing information to Accounts receivable. Prepares and sends Reservations/Catering confirmations and invoices to customer. Distributes information to appropriate personnel.  

Knowledge, Skills, and Abilities: 

  • Knowledge of scheduling and contract administration.
  • Knowledge of Microsoft Office Suite, particularly Excel.
  • Skill in public relations and handling complaints.
  • Ability to communicate effectively.

Physical Requirements: 

  • Ability to lift/move 20lbs. 
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
