Description

The Centre Manager looks after the administrative operations to ensure that our budget, assets, HR and publicity functions are well managed, and aligned with the core values of the University.

 

Job Responsibilitie

 

  • Budget Management, Asset Management  
    •    Monitor the centre’s budget to ensure financial sustainability 
    •    Work closely with the Finance Office to track expenditures and maintain records of all financial transactions for auditing and grant closing purposes
    •    Ensure that the centre’s activities comply with grant regulations and procurement regulations
    •    Provide administrative support to centre staff for payment and procurement matters
    •    Account for assets, including device warranty and physical furniture in the lab, for the annual asset verification exercise. 
    •    Identify cost-saving opportunities and optimise resource allocation
  • HR Management 
    •   Maintain the centre’s Manpower Listing 
    •    Administer the recruitment of Software Engineers and Administrative Staff, including preparation of job descriptions, supporting with the interviews, submission of fund check and manpower listing, induction programme, and the application of lab access and seat (where required)
    •    Manage the salary matters of all contract staff, including the submission of fund checks and resumes/cv to Human Resources
    •    Oversee and manage the applications and payment processes for all interns. This includes the Training Employment Pass application
    •    Supervise junior administrative staff (if any) and provide guidance on best practice
  • Publicity and Communication 
    •    Oversee content creation for website and social media platforms.
    •    Manage public relations efforts, including press releases and media outreach
    •    Organize events, seminars, and workshops to promote the centre
  •  

    Assisting in any other ad-hoc duties, and exigencies of service, as assigned by the Centre Director.

    Requirements

    Qualifications / Relevant Experience

    • Recognised diploma/ bachelor’s degree in any field
    • Preferably with work experience in a higher education setting, or in a large organisation, with some experience in a managerial role.
    • Proven track record working with diverse stakeholders, handling multiple timelines, and coordinating between different teams will be a bonus.
