Assistant Manager/Senior Assistant Manager, Student Administration

The School of Humanities at NTU-Singapore is a diverse and dynamic hub of research and education supported by a world-class faculty.  We offer multiple single and double major undergraduate degree options across multiple disciplines, namely Chinese, English, History, Linguistics & Multilingual Studies, Philosophy and Art History.  The double major degree programmes offer students the opportunity to specialize in any two major academic disciplines and will encourage a multidisciplinary educational and intellectual focus; it will equip students with the transferable skills of a liberal arts education for successful careers in the rapidly changing environment of the 21st century.

The Undergraduate Education Office plays an important role in the School of Humanities by providing full spectrum of academic-related services to students and faculty in the areas of curriculum administration, course management, assignment and examinations, class scheduling and academic advising.  An efficiently functioning administration allows the academic units to focus on their areas of expertise and make important contributions to providing an attractive environment for studying, teaching and research.

Key Responsibilities:

Programme Administration

  • Oversee and resolve day-to-day administrative issues and provide suggestions/solutions

  • Provide administrative support to faculty

  • Provide advice and suggestions to HoD

  • Plan and manage part-time hiring budget

  • Review and approve monthly teaching claim submissions by part-time lecturers

Undergraduate Operations

  • Oversee and administer various student administration matters, e.g., timetabling, course registration, semester leave of absence, exchange, internship, etc.

  • Provide secretariat support to relevant committees for Student Discipline and Academic Integrity related matters

  • Develop Standard Operating Procedure (SOP)

  • Mentor and guide Senior Executives in day-to-day operations

  • Monitor and reply to queries received via role-base account

  • Oversee the management of undergraduate office’s counter duty and mailing services

Curriculum review and updates 

  • Prepare or review proposals for curriculum changes  

  • Follow through necessary updates following approval of curriculum change

  • Maintain updated internal records

Requirements:

  • Bachelor’s degree from a recognised university

  • Knowledge of the academic settings in the tertiary institution sector

  • Minimum 5 years of supervisory experience, preferably in academic services in the tertiary institution sector

  • Strong leadership and people management skills

  • Excellent oral and written communication skills

  • Proficient in office IT applications and Microsoft Office suite of application

  • Able to collaborate and engage with people at different levels of the organization
