Reporting to the Manager of Student Recruitment, the Coordinator, Graduate Student Recruitment supports and contributes to OCAD University’s (OCAD U) efforts to attract and enroll high-caliber candidates into its graduate programs. Working closely with the Admissions & Recruitment (A&R) team and the School of Graduate Studies (SGS) Office, the Coordinator engages in various in-person and virtual events, programs, and communication efforts to guide prospective students and applicants on their journey to OCAD U. 

Summary of Responsibilities:

  • Support overall A&R planning, events and communications for domestic and international students to support the university’s enrolment targets, objectives and strategic plan  
  • Deliver timely, accurate, and accessible information to prospective students to support them in their graduate application, accepting their offer, and transitioning into their program. 
  • Respond to applicant inquiries regarding admission status using student information systems (Slate, and triage as needed 
  • Provide 1:1 advising and support to prospective applicants 
  • Collaborate with the Coordinator, Visitor Experience & Special Events, to ensure graduate applicants receive campus tours that illustrate the OCAD U experience, student life and other areas of the campus experience 
  • Work closely with the SGS and A&R team to assist in planning, developing and implementing graduate student recruitment initiatives (e.g. Open House, Grad Fairs, and events, etc.) 
  • Support the training and mentorship of graduate student monitors 
  • Work with the A&R and SGS team to leverage the Client Relationships Management System (CRM) to maintain and measure relationships with prospective students and applicants 
  • Track, monitor and evaluate the effectiveness of graduate student recruitment through surveys and report writing 
  • Contribute to updates on graduate student recruitment initiatives during regular communications meetings 
  • Ensure that recruitment activities are consistent with established structures and policies, as well as standards of quality and customer service 
  • In collaboration with the SGS and A&R, organize and coordinate recruitment-related events for incoming students, including international student information sessions  
  • Contribute to the development of diversity, equity, inclusivity, and accessibility (DEIA) strategies throughout all recruitment programs, services and communications 
  • Assist the Manager, Student Recruitment and other Admissions & Recruitment staff in other related duties contributing to the successful operation of the Admissions & Recruitment office 


Qualifications:

  • Post-secondary degree or equivalent, with a minimum of two (2) years of administrative work experience, preferably in a post-secondary environment ; a graduate degree in an arts and design-related field is considered an asset 
  • Excellent technical computing skills, including the ability to create documents, forms and templates using Microsoft Office and Adobe Creative Suite 
  • Experience using the Slate admissions platform 
  • Ability to create accessible documents, PDFs and videos using Knowmia  
  • Familiarity with databases, with a demonstrated ability to learn in-house programs and systems; working knowledge Client Relationship Management software (e.g. CRM Recruit), an asset 
  • Ability to host and provide technical support to live online events using platforms such as Zoom and Microsoft Teams 
  • Proven judgment, diplomacy, tact and strong interpersonal as well as oral and written communication skills 
  • Ability to work professionally and effectively with people at all levels in and outside of the university setting 
  • Demonstrated attention to detail, organizational skills, and the ability to take initiative 
  • Proven ability to meet deadlines and work well with high volume, pressure and changing priorities 
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty 
  • Must be willing and able to travel, as required 
  • Possession of a valid Ontario G Class driver’s licence, an asset 
  • Flexibility in work hours; must be willing and able to work occasional evenings, as required 

Mode of Work: Hybrid Model

Compensation: Hiring Range - $27.56 to $31.53 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of benefits; Salary Range - $27.56 to $35.76 per hour.

Hours of Work: Up to 21 hours per week. Flexibility in work hours; must be willing and able to work occasional evenings, as required. This is a temporary contract expected to begin August 18, 2025, and continue until March 31, 2026.
